Merging QuickBooks Files
Recently we had a client who was looking to merge data from several QB files into one. QuickBooks does not allow this out the box so in order to do so you will need to use some third party tool to assist with the process.
Our go to tool for QB data transfers is typically the Data Transfer Utility from Q2Q.
The Data Transfer Utility allows QuickBooks users to transfer (merge) list and transaction data from one QuickBooks file to another QuickBooks file. Using simple parameters, the Transfer Utility automatically makes the transfer while allowing you to control the process. QuickBooks files are opened and closed by the Transfer Utility and the regular QuickBooks program does not have to be running. Small transfers can be made in less than a minute.
The utility will merge data from one QuickBooks file into another QuickBooks file without erasing or overwriting existing data. It’s useful for merging QuickBooks file, starting a new QuickBooks file, transferring work done at home, at client offices, at service locations or at remote offices to a main office QuickBooks file. Data can be transferred by network connection, email or removable disk.

Now there is more to just running a program and viola the work is done. You first need to identify what the client is looking to bring over and come up with checks and balances to ensure the information is reconciled.
With this particular client the job was a bit more complex, they wanted to take all transactions from a certain period and re-class them before importing them into the final file. This in turn steered us to another program which I’ll discuss next time.
